Privacy Policy
Last updated October 10, 2026. What we collect when you get offers on your car, who sees it, and the choices you have.
The short version
- Dealers see your car, its inspection, and what you're shopping for next. They don't see your name, phone, email or postal code.
- Only the dealer whose offer you pick gets your name, phone and email.
- We never sell your information.
- You can ask us to see, fix or delete your information at any time.
CarTradeEasy is operated by 16525458 Canada Inc. (a Zundpunkt initiative) in Ontario. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). This policy covers cartradeeasy.com, our signup chat, the offers page and the messages we send you.
1. What we collect
- About you: your name, email, phone number and postal code.
- About your car: year, make, model, trim, kilometres, condition, VIN, and whether you owe money on it (and, if you tell us, your payment amount, how often you pay and how long is left).
- What you want next: the vehicle you're shopping for and how you plan to pay (finance, lease or cash).
- Your signup chat: the conversation you have with our signup assistant, including any questions you ask.
- Your inspection: the photos, video and report from your PAVE inspection. These can show your vehicle's surroundings, such as a driveway or house number, so we ask you to inspect somewhere that doesn't show more than you'd like.
- Your pick: the offers made on your car and the one you choose.
- Technical data: basic information such as IP address and browser type, used for security and fixing problems. Our website platform (Squarespace) uses cookies to run the site and measure visits. Our signup chat and offers page don't use advertising cookies.
2. How we use it
- To send you your inspection link and keep you updated by text and email.
- To turn your inspection into a clear condition report for dealers. We use AI to read the inspection and your chat answers.
- To find dealers who serve your area, show them your vehicle, collect their offers and show the offers to you.
- To share your contact details with the dealer you pick, so they can complete the deal.
- To answer questions, prevent misuse and improve our service.
We use your postal code only to match you with nearby dealers. Dealers see your general area (such as "Toronto"), never your postal code.
3. Who sees what
- Dealers in your area: A preview of what you're shopping for, how you plan to pay and your general area.
- Dealers who open your inspection: Your vehicle's details and VIN, kilometres, condition, the full inspection report and photos, what you want next, and roughly how much you owe on the vehicle.
- The dealer you pick: All of the above, plus your name, phone number and email.
Data Handoff Boundary: Once you pick a dealer, they assume sole responsibility for your information under Canadian privacy law. CarTradeEasy acts solely as an intermediary prior to this selection and relinquishes all liability for the data once the dealer receives it. Our dealer terms allow them to use it only to complete your deal, not for unrelated marketing.
4. Service providers
We use these companies to run CarTradeEasy. They process information for us under contract:
- PAVE: Vehicle inspection by phone (see PAVE's own privacy policy)
- Airtable: Secure database for requests and offers
- Anthropic: AI for the signup assistant and inspection summaries. We prohibit Anthropic from using your data to train their AI models.
- Vercel: Signup chat and offers page hosting
- Squarespace: Website hosting
- Google Workspace, Postmark: Email
Cross-Border Data Transfer: Some of these providers store or process information outside Canada, mainly in the United States, where it may be accessible to authorities under local law. Using our AI signup assistant and inspection summaries inherently requires cross-border data transfer, and by using the service, you explicitly consent to this transfer. We may also disclose information if the law requires it, to protect people's rights or safety, or as part of a sale or reorganisation of our business. We never sell your personal information.
5. Texts and emails
By signing up, you agree that we can text and email you about your inspection, offers and pick. We won't send you marketing unless you agree to it separately. Reply STOP to texts, or email us, to stop messages at any time.
6. How long we keep it
We keep your request for up to 2 years after your last activity, so we can answer questions about a deal and meet our legal obligations. We then delete it or make it anonymous. You can ask us to delete it sooner.
7. Your choices
- Ask to see the personal information we hold about you, or correct it.
- Withdraw your consent or ask us to delete your information. If you do this before you pick a dealer, we'll stop your request. We can't recall information already given to a dealer you picked, but we'll pass on your request to them.
- Complain to the Office of the Privacy Commissioner of Canada if you aren't satisfied with our answer.
8. Keeping it safe
We protect information with access controls, encrypted connections and private links that can't be guessed. No system is perfectly secure. If a breach creates a real risk of significant harm, we'll tell you and the Privacy Commissioner as the law requires.
9. Who can use CarTradeEasy
CarTradeEasy is for adults 18 and older. We don't knowingly collect information from anyone younger.
10. Changes and contact
We may update this policy and will post the new date at the top. Our privacy contact is Vin Mehta. Email hello@cartradeeasy.com for any privacy question or request. We'll reply within 30 days.
